The workspace contains functionality that allows users to view, edit, create and delete loan information. These functions, along with a list of all of a client's loans, is located in the loan grid.
The first field in the loan grid is always an internally assigned identification number. The numbers are always incremental starting at 1 and are used to display links between contacts and loans. These numbers are not permanently linked to the loan.
The order in which loans are displayed in the loan grid is by the user's worklist, delinquent or locked status, follow-up date and current balance. Delinquent or locked loans that are in a user's worklist appear at the top. Delinquent or locked loans in other worklists appear next, followed by any unlocked non-delinquent loans. In most cases, the loan that caused the client to be loaded when the "Next" button was clicked appears at the top of the loan grid.
Another field in the loan grid is the Status. A loan has one of the following statuses:
Loan Status | Description |
Active (A) | Active loans are updated by the core system during the download. A loan with an active status is current. |
Charged-off (C) | A locally-maintained loan or a core-maintained loan that is charged-off in the core system. |
Inactive (I) | A core-maintained loan that is no longer being downloaded from the core system. A loan with an inactive status is not delinquent. |
New (N) | A new, locally created loan. |
Settled (S) | A locally-maintained loan that is settled in full. A loan with a settled status has a balance of zero. |
Closed (X) | A written-off loan. |
The loan status may also include one or more of the following codes:

A loan that has been transferred away from its default worklist, based on the worklist criteria configured by a system administrator in System Management > Collection > Worklist Assignment.

Delinquent (D) | A loan that is active and delinquent or any charged-off loan with a balance. | ||
Locked (L) |
A loan that is not delinquent is not presented to be worked unless it is Locked.

To access details regarding a loan, highlight the desired loan record in the loan grid section of the workspace and click . The Loan Detail window is displayed.

If the loan is charged-off (locally-maintained) but continues to be included in the files processed by the Download, the In Last Import field is selected but no information is actually loaded into Elements for the record. The Last Time Imported field indicates the last time this loan record was actually updated by the core system. Loans that were originally core-maintained can be converted back to being core-maintained. If the In Last Import field is selected, select the Core Flag check box to revert the loan to core-maintained. Please see the Transactions Tab topic of this guide for more information on locally versus host-maintained loans. |

A new loan can be created in Elements to track a charge-off loan that is not being maintained in the core.

A loan created in the Collection Element is always locally-maintained. It cannot be transferred to being core-maintained. Please see the Transactions Tab topic of this guide for more information on locally versus core maintained records. |
To create a new loan, click next to the loan grid. The Loan Detail window is displayed.
Enter any information about the Loan and click Save. Click Cancel to disregard creating the loan.
Upon clicking Save, the Transaction Detail window is displayed. A charge-off transaction for the entire loan balance must be created in order to track this loan in the Collection Element.

When creating a new loan, Charge Off is the only Transaction Code available within the Type drop-down because a new loan can only be created as a charge off in Elements. |
When finished entering the transaction information, click Save. Click Cancel to disregard creating the loan.
To edit an existing loan, highlight the desired loan record in the loan grid and click . The Loan Detail window is displayed.

Make any modifications to the loan and click Save. Click Cancel to disregard any changes.
To delete a loan, highlight the desired loan record in the loan grid and click . The loan is deleted.

Only locally maintained loans with a status of Closed, Settled, New or Inactive can be deleted. Active or charged off loans cannot be deleted. Upon clicking ![]() |

Any links between the deleted loan and follow-up mail items and checklist records are removed. All contact and follow-up records are retained. All transactions and promises to pay linked to the loan are deleted. |
To print the Loan Detail Report, click in the loan grid of the workspace.
